How to edit and delete Email in Outlook 2016

Introduction

When your email properties change, you need to know how to edit your email account settings to ensure its uninterrupted functionality. This guide will walk you through reviewing and modifying your Outlook email account setup and removing unneeded email accounts configured in the Email Application.

 

Accessing the Outlook email Settings

Please open the Outlook Email Client and access the “File” tab located at the top left corner of the Email Menu bar whenever you are ready.

The email client will redirect to the “Account Information” section. Please click on the “Account Settings” icon and select the “Account Settings” option from the dropdown menu.

The Outlook email application will display the “Account Settings” dialog, where you will see all your email accounts listed under the “Name” section.

Please select the email you want to edit, and once the email client highlights it, click on “Change”.

Once you select the Outlook account,  the email application will show the “Change Account” pop-up window containing your Incoming and Outgoing mail servers, as well as your incoming server authentication username and password.

If you need to apply any changes, please go ahead and do so. Afterward, please click on the “More Settings” button.

Outlook 2016 will display the new “Internet E-mail Account”. Under the “Outgoing Server” tab, you can modify the outgoing server login username and password if needed.

Under the following “Advanced” tab, you will find the Incoming and Outgoing ports and encryption methods. Please apply the necessary changes and click on the “OK” button when you are ready.

Now, back at the “Change Account” window, you will need to click on the “Next” button. After doing so, Outlook will initiate a test to confirm whether you have configured the Email setup properly.

When the email application finishes the test, you will receive a confirmation message stating that everything is properly working.

To finalize the process, click on the “Close” button, and you will be all set.

 

Removing unnecessary Outlook Email Accounts

In case you have old and unneeded emails that you would like to remove from Outlook, continue reading as we will go over how to achieve this in the following section.

To do that, please go back to the “Account Settings” window. (You can follow the steps described in the first section of this guide.) After selecting the desired email account and once Outlook highlights it, click on the “Remove” button.

Afterward, a warning pop-up window will appear, and you will need to click on the “Yes” button to confirm the email account removal. Before you proceed further, please make sure this email account does not contain essential email data.

Once confirmed, Outlook will remove the email account from its configuration settings.
